      1. Booking Conditions

Carisatravel.com, Nordictour.com and Finlandlocalguide.com are the trading names of Carisa Travel Group LTD. We are headquartered at Vironkatu 3 D 1 00170 Helsinki, Finland (Business ID – 2808449-6). Our company owns and operates Nordic Tour (Business ID: 2913149-3) and Finland Local Guide (Business ID: 2841913-7).

Our booking conditions apply to all bookings at Nordictour.com, Carisatravel.com and Finlandlocalguide.com. All bookings made through the Company’s website or otherwise shall be deemed an offer by the customer to purchase the specific package or other travel arrangements, subject to the Booking Conditions.

No contract between the customers, Nordic Tour By Carisa, Carisa Travel Group and Finland Local Guide is formed until they have received full payment and issued an invoice confirmation. By default, when a customer makes the booking, a customer accepts these Booking Conditions on behalf of all members of their travel party. Each customer is responsible for paying the entire group.

Booking conditions at Carisa Travel Group, Nordic Tour By Carisa and Finland Local Guide apply to persons over 18 years of age. Customers under the age of 18 should be accompanied by at least one adult.

By submitting the booking, you confirm that you are complying with all of our agreements. We aim to respond to all queries and inquiries within two business days. One of our travel consultants will get in touch with you as soon as possible during peak season.

Rest assured that Carisa Travel is fully licensed by the Finnish government. Our company acts in compliance with the General Data Protection Regulation – a regulation in EU law on data protection and customer privacy. Please see our   privacy policy  .

            1. terms of payment

Payment Methods Accepted – Carisa Travel accepts payments from all major debit and credit cards. For bookings at least 2 weeks before the travel date, we accept bank transfers.

Carisa Travel accepts payments with cards such as Visa, Visa Electron, MasterCard, JCB, Discover, Maestro, UnionPay, Diners and American Express. Please note that customers paying through Diners, Discover and American Express will incur a 3% handling fee.

To pay by bank transfer, you must select “bank transfer” as the preferred payment option when booking. We will contact you for payment-related instructions. Carisa Travel does not accept bank transfers for bookings made less than 15 days before the travel date.

Payment at time of booking

Carisa Travel requires a deposit or full payment at the time of booking. This depends on the time and type of travel package booked.

Packages booked more than 30 days before the travel date

Carisa Travel requires a non-refundable deposit at the time of booking, ie 20% of the total amount. When booking packages that include cruise, train, flight or accommodation in ice, igloo/snow hotels, we charge a non-refundable deposit of 50% of the total price at the time of booking. Even if you book guided small group tours in Iceland, we charge a deposit of 30% of the total amount.

Packages booked 30 days or less before the travel date

Carisa Travel requires full payment for bookings made within 30 days of the travel date. Please remember that if bookings are made less than 30 days prior to travel, Carisa Travel should confirm the availability of all services and supplies before confirming the full package.

If a particular excursion or service is unavailable, an alternative will be provided or a full refund will be given. Receive notifications of any significant itinerary changes before issuing a confirmation invoice.

Packages at special offers

If you wish to take advantage of certain promotions such as an “Early Bird” discount, you may need to pay the full amount at the time of booking to redeem the discount. Conditions may vary depending on the offer. Unless otherwise stated, standard payment terms apply to all special offers.

When booking Tailor-Made Packages, you may be required to pay a deposit (20%, 30% or 50% of the total amount depending on the services covered) or the full amount at the time of booking. If bookings are made less than 30 days before your trip, paying in full is the only option.

Final payment after deposit

Full payment for both individual and group packages should be made at least 4 weeks prior to arrival or on the booking confirmation if the initial booking is made within 4 weeks of travel. Some tour packages require full payment in advance; In these cases, however, the information is provided online in the package details.

Note – Some of the itineraries at Carisa Travel have strict payment policies. In this case, the specific details will be given online in the package information.

payment processing

As soon as we have received the payment, we will send you an invoice for the amount paid by e-mail. Any remaining payments will be processed through a secure payment login page on our website.

Late Payments

Carisa Travel has the right to consider the late payment as a cancellation of the booking. This means that our company can revoke the confirmation of our services. Applies only if a payment is not made at least 2 weeks prior to your arrival and no agreement is made to pay the balance.

All pricing information available in our tariffs is based on current prices and is subject to change without prior notice on our website. After the final invoice has been issued, the booking price is guaranteed against surcharges. This is possible unless it is due to current fluctuations, government taxes or other cost increases that are beyond our control.

Keep in mind that for the above reasons, the available prizes have to be increased on rare occasions; Carisa Travel will notify you at least eight weeks in advance if your booking price changes. In such situations, we will receive an amount equal to 5% of the remaining package price minus the deposit amount paid.

amounts exceeding 5% will be invoiced; However, if the surcharge increases by 10%, you are entitled to cancel the booking with a full refund. Please remember that Carisa Travel reserves the right to cancel, restrict or change the order if an incorrect price has been incorrectly listed on our website.

            1. cancellation

General Cancellation Fees

Carisa Travel charges general cancellation fees of a percentage of the total travel package price as follows:

            • More than 21 days before the planned travel date: 20% cancellation fee
            • Less than 21 days before the planned travel date: 50% cancellation fee
            • Less than 7 days before the planned travel date: 75% cancellation fee
            • Less than 72 hours before the planned travel date: 100% cancellation fee

Note: The above cancellation fees apply to all tour packages except for guided small group tours and group bookings. In addition, cancellation charges may vary for specific itineraries and services. Therefore we have listed the cancellation policy and fees on the tour packages page.

Notification for Cancellation

If you wish to cancel your booking, our travel consultants will notify you as soon as possible. Also, if you wish to cancel at short notice, ie 72 hours or less before the travel time, please email us at   info@carisatravel.com   and call us   on +358440231136   or   +358400470772  to arrange this with one of our customer service representatives immediately discuss.

cancellation insurance

Carisa Travel offers cancellation insurance when booking self-drive, multi-day and private Iceland tours. This insurance is designed to protect you against financial loss that may arise if you cancel your travel package.

Taking advantage of our cancellation insurance when booking our tour package gives you the peace of mind that you can cancel your tour for any reason. Insurance can be added for a modest fee*; however, is free if you make full payment at the time of booking**.

Please remember that cancellation insurance should be added for all adults in the booking, not just for the individual travelers. If all adults in your group choose travel cancellation insurance, all children and infants traveling with you will receive free travel cancellation insurance.

*  The cancellation insurance fee is non-refundable, non-transferable and non-changeable. It will be added to the total cost of the tour package.

* The free cancellation insurance does not apply to bookings made less than 30 days before the travel date.

The choice of cancellation insurance includes the following conditions:

            • More than 48 hours before the planned travel date: No cancellation fee (we have 80% refund & 20% credit ready for you*)
            • Less than 48 hours before the scheduled arrival date: 30% cancellation fee
            • Less than 24 hours before the planned travel date: 40% cancellation fee

*If you cancel more than 48 hours in advance, you will receive a refund of 80% of your payment and the remaining 20% ​​can be used by you, your friends and family as payment if you book a new holiday with us within 20 minutes book 36 months .

Cancellation conditions for guided city tours in small groups*

Carisa Travel, Nordic Tour by Carisa, Finland Local Guide charges free cancellation for booking small group tours discussed below:

            • More than 15 days before the planned travel date: 100% refund
            • Less than 2 weeks before the planned travel date: 30% cancellation fee, 70% refund
            • Less than 3 days before the planned travel date: 100% cancellation fee

*  Tallinn day trips, Lapland safaris and private tour bookings have their own rules and need to be confirmed by us.  

Cancellation policy for group bookings

Carisa Travel charges a cancellation fee for group bookings, which is discussed below:

Cancellation for the entire group booking

            • More than 10 weeks before the planned travel date: the cancellation fee is 20% of the estimated total price of the travel package.
            • 8 to 10 weeks before the planned travel date: cancellation fee is 30% of the expected total price.
            • 4 to 8 weeks before the planned travel date: cancellation fee is 50% of the expected total price.
            • Less than 4 weeks before the planned travel date: cancellation fee is 100% of the total price.

Conditions for cancellation of individual travelers within a group booking

Please remember that cancellation by one traveler or travelers within a group may increase the price for the entire group. The Company may charge a cancellation fee to the Traveler who previously canceled.

Conditions for cancellation of less than 10% of the group

            • 4 weeks before arrival: no charge (may increase the price for the whole group)
            • Less than 4 weeks before arrival: 50% cancellation fee
            • Less than 2 weeks before arrival: 100% cancellation fee

Non-refundable Services

Please note that the cancellation policy for the following services is followed more strictly than normal: International and domestic flights, day tours that include flight, accommodation in ice/snow/igloo hotels, train tickets and cruises. From now on, Carisa Travel will not refund any of the above services booked through us.

            1. Changes to bookings

You should only request a booking change by email yourself if you submitted the original booking request. Depending on how far in advance you have booked your travel package and when you requested booking changes, an administration fee of €250 may be charged to the credit card used for the original payment for each day or night of the changed itinerary.

If you request changes within 30 days of the booking date, the administration fee may be waived. However, additional supplier costs may apply depending on the desired changes.

If you have booked within 60 months of the travel date, we can make changes without charging an administration fee until the services have been confirmed and the travel documents have been issued.

But for bookings made 30 days or less before arrival, you may have to pay the administration fee and applicable supplier fees for the short processing time.

transfers

You can transfer the booking from one party to another and the new buyer will comply with the terms and conditions of booking our services. We charge an administration fee, which is charged at the time the transfer is requested. Both parties should accept joint liability for this fee and any other costs that may arise as a result of the changes made to the booking.

            1. Special Offers – Terms and Conditions

For all Carisa Travel special offers, the following conditions apply to all travel packages:

            • The special offer price applies to new bookings only
            • They are not valid in combination with other discounts or promotions.
            • They only apply to standard packages available on the website, not to customizations such as hotel upgrades or extra nights, extra activities or extra days with a rental car
            • The available discount will be deducted from the total price at the time of booking
            • Special offer package bookings are non-commissionable for third party travel agents
            1. Early Bird Offers – Terms and Conditions

The terms and conditions for early booking offers on Carisa Travel are explained below:

            • Discounts only apply to new self-drive tour package bookings, ie rental cars
            • This offer does not apply to packages that fall under a special offer or in combination with other discounts
            • This offer applies to standard packages as available on the website and does not apply to customizations such as additional nights or hotel upgrades, additional activities or car rental days.
            • Discounts are displayed and calculated at the total price during the booking process
            • Package bookings with early bird offers are non-commissionable for external travel agents
            1. Invoice and voucher dispatch

All travel documents are made available to customers electronically as PDF documents attached to an email. In addition, you will receive the travel documents in paper form upon arrival either from the chauffeur of the airport transfer (Finland) or upon request at the hotel.

You can request that your documents be sent to you by first class mail. You have to pay a small additional fee for this service. For mail order regulations, documents should be sent to the credit card holder’s billing address, not the passenger’s address, unless they are identical.

Please remember that Carisa Travel cannot be held responsible if documents are misplaced or lost in the mail. We recommend that you send all documents to your address by registered mail or courier service; although this incurs additional costs.

            1. Important details for travel agencies

Most of our itineraries are commissionable to travel agents. Please note that we do not accept commissions on itineraries and packages that are available on special offer, including early bird bookings, day tour only bookings or additional activities included in itineraries.

Carisa Travel assumes no responsibility for any damage, loss, injury, accident, illness and flight schedule changes due to strikes, bad weather, natural disasters or any other cause within our control. We act to the best of our knowledge and cannot be held responsible for the actions, delays or omissions of any hotel, agent, restaurant, tour guide, airline or any other company or person.

Carisa Travel reserves the right to make changes to routes, itineraries or departure times without prior notice. For changes in international and domestic flights or scheduled travel by ferry, cruise, train or bus, passengers are responsible for additional costs incurred by such changes, such as extra nights in a hotel, transfers, meals, etc.  We recommend our customers to book a Take out comprehensive travel insurance that covers all eventualities.

Our primary goal is to provide unsurpassed customer service and strictly monitor quality. If for any reason you are not satisfied with our tour package we would like to hear from you immediately. We encourage you to get in touch with our office as soon as possible, no matter what kind of incident happens during your vacation.

While traveling with Carisa Travel you have excellent access to an emergency number. If you cannot do this at the same time, you should notify Carisa Travel by email within 30 days of your return. Otherwise you could jeopardize your right to compensation.

All travel related information and all travel package details provided on the Carisa Travel website are subject to change. Carisa Travel reserves the right to change/correct/amend errors that appear on the website or are discussed in the prices.
