Carisatravel.com and Finlandlocalguide.com are registered trade names of Carisa Travel Group LTD. Our headquarters at Mikonkatu 22 E 56, 00100 Helsinki, Finland, and our Business ID is 2808449-6. The group owns and operates entities such as Nordic Tour, with a Business ID of 2913149-3, and Finland Local Guide, identified by Business ID 2841913-7.

Our comprehensive booking conditions apply to all reservations made through Nordictour.com, Carisatravel.com, and Finlandlocalguide.com. Any booking facilitated via the company’s websites or through other means is considered a commitment by the customer to procure the specified travel package or arrangements, adhering to the established Booking Conditions.

A contractual agreement between the customers and the entities of Nordic Tour By Carisa, Carisa Travel Group, and Finland Local Guide is formalized only upon receiving full payment and issuing a confirmatory invoice. By initiating a booking, the customer agrees to these Booking Conditions on behalf of every member of their travel group, thereby assuming financial responsibility for the collective.

The booking conditions of Carisa Travel Group, Nordic Tour By Carisa, and Finland Local Guide are designed for individuals aged 18 and above. Any customer below this age threshold must be accompanied by a legal adult.

When you proceed with a booking, you accept all our terms and agreements. We are committed to addressing all questions and requests within two business days, ensuring prompt communication, especially during peak seasons.

Please be assured that Carisa Travel Group is a fully licensed entity by the Finnish government and strictly adheres to the General Data Protection Regulation (GDPR) — the paramount regulation in EU law concerning data protection and the privacy of our customers. Terms of Payment

Accepted Payment Methods Carisa Travel accepts payments through all major debit and credit cards. For reservations confirmed at least two weeks before the travel date, we also accept bank transfers. We process card payments, including those made with Visa, Visa Electron, MasterCard, JCB, Discover, Maestro, Union Pay, Diners, and American Express. Please be advised that payments made using Diners, Discover, and American Express cards are subject to a 3% handling charge.

Special Offer Packages Full payment may be required at the time of booking to benefit from specific promotional deals. The terms may vary based on the promotion. Unless indicated otherwise, our standard payment conditions apply to all special offers.

Custom Bookings Tailor-made packages may require a deposit of 20%, 30%, or 50% of the total price, depending on the included services, or full payment upon booking.

Lapland Tours — Igloo Accommodation For Lapland tours that include igloo or specialty accommodation (ice/snow/glass igloo hotels), a 50% non-refundable deposit is required at the time of booking for the igloo nights. The remaining balance for all other services must be paid no later than 30 days before arrival. If the booking is made less than 30 days before travel, full payment is required upon booking confirmation.

Final Payment The balance for individual and group packages must be paid no later than 45 days before arrival, or upon booking confirmation if the booking is made less than 30 days before travel. Specific tour packages may require earlier full payment; such terms are specified in the online package details.

Payment Processing Upon receipt of your payment, an invoice for the amount paid will be emailed to you. Any subsequent payments can be made securely through the designated payment portal on our website.

Late Payments Should a payment be outstanding within two weeks of the scheduled arrival and no arrangement for its settlement has been made, Carisa Travel reserves the right to treat the delay as a booking cancellation and may consequently revoke the confirmation of our services.

Validity of Prices The prices listed on our tariffs are current and subject to change without prior notification. Once the final invoice is issued, the price of your booking is safeguarded against any additional surcharges unless these arise due to unforeseeable circumstances such as currency fluctuations, government levies, or other cost increments outside of our control. On rare occasions, prices must be adjusted, and Carisa Travel will notify you at least 28 days in advance of any change to your booking cost. In such cases, you will be invoiced for any increase exceeding 5% of the net package price post-deposit. Should surcharges surpass 10%, you are entitled to a full refund should you choose to cancel. Please note that Carisa Travel may cancel or modify an order if pricing errors are detected on our website.

Cancellation Terms

Individual Tours and Multi-Day Tours Specific cancellation terms are detailed within the description of each tour.

Group Tours — Standard Hotel Accommodation (Winter Season)

Christmas & New Year Peak Period: Cancellations or reductions made after the following deadlines will incur cancellation charges:

  • 100% cancellation charge applies after late August
  • Maximum 50% reduction of the booking permitted after mid-October
  • Maximum 10% reduction of the booking permitted after late November
  • All cancellations or reductions made after late November will be fully charged as booked

General Winter Season (excluding the Christmas & New Year period above):

  • Cancellation deadline: 90 days prior to arrival
  • Maximum 50% reduction: 60 days prior to arrival
  • Maximum 25% reduction: 30 days prior to arrival
  • Maximum 10% reduction: 14 days prior to arrival

Rooming lists must be submitted no later than 14 days prior to arrival.

Group Tours — Igloo & Specialty Accommodation Igloo, ice hotel, snow hotel, and glass igloo accommodations are strictly non-refundable upon cancellation regardless of the cancellation date. The 50% deposit paid at booking for igloo nights will not be refunded under any circumstances. Optional cancellation insurance is available for the non-igloo components of the tour.

Notification for Cancellation If you need to cancel your booking, please inform our travel consultants promptly to ensure the best possible outcome. For cancellations within 72 hours of travel, contact us immediately at info@carisatravel.com or reach out to our customer service via the provided phone numbers to discuss your options.

Cancellation Insurance (Optional — 35% of total booking value)

Carisa Travel offers optional cancellation insurance for multi-day tours and custom bookings. This insurance must be purchased at the time of reservation and amounts to 35% of the total booking value. Once added, it safeguards against potential financial losses due to cancellations, allowing you to cancel your tour for any reason.

All adult members of the booking must select the cancellation insurance for accompanying children and infants to be covered at no extra cost. The cancellation insurance fee is non-refundable, non-transferable, and must be added to the total tour cost at the time of booking.

Cancellation Insurance Terms

  • More than 21 days before travel: No cancellation fee; receive an 80% refund and 20% credit towards future bookings, applicable within 36 months.
  • Less than 14 days before travel: 50% cancellation fee applies.

Credits issued may be used by you or your friends and family for new bookings made within the specified timeframe.

Non-Refundable Services

Certain services carry a strict no-refund policy upon cancellation, including:

  • International and domestic flights
  • Specialty accommodation such as ice, snow, and igloo hotels
  • Train tickets
  • Cruises

Booking Changes

If you wish to make changes to your booking, please contact us and we will check the available options for you.

Special Offers

Carisa Travel’s special offers are subject to the following terms:

  • Offers are valid for new bookings only
  • Offers cannot be combined with other discounts or promotions
  • Offers apply only to standard packages listed on our website; custom options such as hotel upgrades, extra nights, or additional activities are excluded
  • Discounts are applied directly to the total booking price
  • Bookings made under special offers are not eligible for third-party travel agent commissions

Invoice and Voucher Dispatch

Travel documents are provided electronically via PDF. A hard copy is available upon arrival in Finland or at your hotel upon request. Documents can be mailed via first class upon request for an additional fee, sent to the credit card holder’s billing address. Carisa Travel is not liable for documents lost or misplaced during mail transit; we therefore recommend shipping via registered mail or courier service for added security.

Liability

Carisa Travel is not responsible for any damages, losses, or disruptions caused by unforeseeable circumstances. While we endeavour to operate with the utmost care, we cannot be held accountable for the actions or failures of third parties.

  • We reserve the right to alter travel routes and schedules without prior notice.
  • Customers are advised to consider comprehensive travel insurance to cover unexpected events.
  • Feedback regarding satisfaction with our services is encouraged promptly so that any concerns may be addressed.
  • Communication regarding any incidents during travel should be made via our emergency contact or email within 14 days post-travel to maintain the right to compensation.
